Holiday Break Check List and Information

Temporary Greeting/Holiday Message on Office Phone
In a short few days you will be leaving the college to enjoy your families, travel and relax.  Most folks outside MCA do not have this luxury and usually have no idea that we do.  So for them... could you please leave a temporary holiday message on your school voice mail that will let callers know the college is closed and we will re-open on Tuesday, January 3rd.  The directions and some sample messages are below.  If you are placing a holiday message from your office phone, dial 999 and follow the instructions below.   You may also do this from an outside phone (home or cell) by dialing 901-275-5105, it will prompt you to enter a certain number if your office is in Rust Hall or continue if not – enter your mailbox number (your three digit extension) and password, then follow the instructions below. 
Please place a reminder on your calendar to remove this message on January 3rd.  If the message was placed on your phone correctly, when you delete the holiday message your original message will be re-instated.  Let me know if you have any problems or questions.

Housekeeping
We also need to take care of a few housekeeping items before you leave for break.  Please do not leave any food/food packaging in your office.  I would appreciate you disposing of any food or food trash including cans and drink bottles in the hallway trash cans.  If you have food or open beverages in the refrigerators in the Executive Suite, Gibson Hall, or the Grad School, please remove these items as well.  Also please unplug your space heaters, turn off all lights, computers and make sure all windows and doors are locked securely.

Pay Schedule
The Dec 31 pay will be issued on Dec 21 instead by either check or direct deposit as you have designated.  This is not additional pay or a bonus check.  This is your Dec 31 paycheck early.  The next pay period following this will not be until January 13th so please plan accordingly.  

Closing and Break Schedule:
We will be closed beginning Thursday, Dec 22 through Monday, January 2nd.  All staff will report to work on Monday, January 3rd.  

Gibson Hall access during Holiday Break
The front door ID access to Gibson Hall may or may not work during the holiday break.  You will be able to access Gibson Hall through the back door during this time.  If neither seems to be working please call Campus Safety 507-3030 for access – except on Dec 24, Dec 25 and Dec 31, Jan 1  Please do not call Campus Safety on these dates unless it is an emergency.

Mail/Package Delivery
The college will be accepting mail everyday accepted Dec 24, Dec 25, Dec 31 and Jan 1.  This includes package delivery.  

Temperature/Thermostats
All thermostats will be lowered to save energy and cost while we are away.  So if you plan to access your office during the break you will need extra layers.

"  You've reached ______________.  The Memphis College of Art is closed for the holidays.  The college will re-open on Tuesday morning, January 3rd.  Please leave your name, number and a brief message and I will call you back upon our return."

6) Elesha Newberry  (please note: this announcement was written by Elesha before she had her baby. so some of the information is now incorrect)

•Elesha’s last day before she begins her leave is December 2, 2011.

•From December 5 until late February/early March, Anna Vargas will be taking over the position of Registrar and all inquiries for the Registrar should be directed to avargas@mca.edu or registrar@mca.edu

•If there are any long term projects that involve Elesha specifically, talk to her BEFORE she goes on leave.

•Don’t bother Elesha during her leave except to say CONGRATULATIONS!

4) New Library Catalog

The library has a new catalog! Located here: http://mca.kohalibrary.com  In the new catalog, you may create course reserves, patrons will be able to renew books themselves, and you may 'browse' the library shelves from the catalog.  If you are interested in creating course reserves in the catalog you can just send me a list of what you'd like on reserve for each course. Please include course name/number in your information. To see an example click on Course Reserves from the main page of the catalog.  Currently I can only put items already in the catalog on reserve.  There will also be a designation for the MCA Main library and the Art Ed Resource Center to make it easier to locate items. Anyone interested in their login information can contact me at lholland@mca.edu

8) Mid-term Grading Deadlines
•The Fall 2011 Mid-term grading period is October 10 - 14.

•Mid-term grades will be due on Friday, October 14th, at noon.

•Grade sheets will be in your campus mailboxes no later than Friday, October 7.


9) New Library Catalog

The library has a new catalog! 8) Elizabeth Brown Needs Your Input!

Convocation
Convocation will take place Wednesday, August 24 at 11:30 a.m. in Callicott Auditorium. PLEASE remember to dismiss your students early and encourage their attendance. Faculty attendance is strongly encouraged.

Welcome Party at Dean Strickland's House
The Dean has invited everyone to his home on Sunday, September 4, 1:00 - 4:00 p.m. 1849 Campbell Road, Millington. Ken will provide driving directions. RSVP to Ken. Contact Ken for more information.

Reception for the Presidential Inauguration
On Monday, October 3, all faculty and spouses, partners, or guests (1 per faculty member) are invited to this reception at the Nesin Graduate School from 6:00 - 8:00 p.m. All faculty are strongly encouraged to attend.

Presidential Inauguration
Tuesday, October 4 beginning at 10:30 at the Levitt Shell. Faculty must wear academic regalia. Faculty robing and line up at 10:00 a.m. at the Executive Conference Room/Alumni Gallery (same place as Graduation). Anyone requiring regalia should talk to Ellen Daugherty or Kim Williams ASAP. Faculty participation is STRONGLY RECOMMENDED.

In addition, please remember that ALL morning classes are cancelled on October 4. You may not meet your classes that morning. All afternoon and evening classes will take place as scheduled.

Need a server for your class?
Submit a class list in hard copy to Ian's mailbox with a short note of request. You can simply xerox your class roster with a note at the top and place in his box. Please do not email your request. This is really the only thing during the year he requests in hard copy as it is easier to keep track of. Once your request/roster is in his box your server folder should be ready by the end of the next business day. A server folder is a great place to start collecting work from students etc. for SACS.

Sick of checking your MCA email? Forward it to your gmail account and when you respond using gmail it will appear as if you sent it from your mca email account. Awesome! 

We want to encourage instructors to communicate ONLY via the mcastudent.org student email addresses, because at this address, we can actually determine whether or not the email is being sent/received. Whereas we can't verify that for other domains (example: yahoo.com mail was down today -- mail sent to a large portion of yahoo.com email addresses wasn't being received).  We CAN check on delivery from our server.
